Cremation Terms of Service

1. Definition

The following terms shall have the meanings specified:

Client: refers to the pet owner, veterinary practice, or any other representative of the pet owner whose order for the Services is accepted by Green Meadows Pet Aftercare Services Inc.

Green Meadows Pet Aftercare Services Inc. is a company duly incorporated and registered in Bacolod City Philippines.

Services: denotes the services and/or goods detailed in the Agreement;

2. Agreement, Appointment Requests and Confirmation

2.1. These Terms apply to pet cremation services provided by Green Meadows Pet Aftercare Services Inc. (“Green Meadows”) to the client.

2.2. Appointment requests and confirmation. Submitting a service request does not, by itself, create a confirmed appointment. Green Meadows will contact the client to propose an available appointment date and time.

To secure the appointment, the client must pay a reservation fee equivalent to 50% of the estimated total cremation fee, calculated using the applicable weight tier based on the estimated weight of the pet. The appointment is considered confirmed only after Green Meadows has received the reservation fee and confirmed the appointment date and time with the client.

The client must wait for confirmation from Green Meadows before bringing the pet to the facility. Submitting a request or paying the reservation fee without confirmation of the date and time does not, by itself, constitute a confirmed appointment.

2.3. Final fee. The final cremation fee will be determined using the pet’s actual weight at drop-off and the applicable price schedule. If the actual weight falls within a different tier, the final fee may differ from the estimate. Any remaining balance must be settled before cremation begins.

2.4. Reservation fee and refunds. If the client cancels the appointment or decides not to proceed, the reservation fee and other payments are non-refundable, subject to any refund or other rights that cannot lawfully be excluded under applicable law.

If Green Meadows cancels a confirmed appointment or is unable to provide the confirmed service for a reason attributable to Green Meadows, Green Meadows will refund the reservation fee in full. Where appropriate, the client may choose to reschedule instead of receiving a refund. Any refund of other amounts already paid will be handled in accordance with applicable law and the circumstances of the case.

2.5. The Agreement consists of these Terms and any additional terms agreed to in writing by Green Meadows and the client. Any service-specific written agreement will apply to the extent it is consistent with these Terms and applicable law.

3. Service

Green Meadows Pet Aftercare Services Inc. provides pet cremation services by appointment only. The client brings the pet to the facility at the confirmed appointment. Green Meadows does not provide pickup, drop-off or transport.

The complimentary send-off hall is available for up to 30 minutes, for eligible cases only. It is not available for cases identified as infectious.

The Client is expressly prohibited from entering the cremation premises of the Service Provider at all times. There is no private/witnessed viewing of the cremation process.

The client may collect the cremains only after Green Meadows notifies the client that they are ready. Same-day release of cremains is not available, and Green Meadows does not guarantee an exact completion time.

3. Payment

3.1. The charges for the Services are pursuant to the Service Provider’s current price list at the time the request for Services is placed (or as otherwise agreed between the parties) and are inclusive of any VAT as stated; otherwise, VAT will be charged separately.

3.2. Payment sequence. (a) The client pays a reservation fee equal to 50% of the estimated total cremation fee, based on the applicable weight tier. (b) Green Meadows confirms the appointment date and time after receiving the reservation fee. (c) The final cremation fee is determined using the pet’s actual weight at drop-off and the applicable price schedule. (d) The remaining balance must be paid before cremation begins. See Section 2.

3.3. The Client is responsible for any costs incurred in the collection of late payments.

4. Ownership and Risk

The risk of loss or damage to goods passes to the Client upon supply, while ownership of goods is transferred only upon full payment of charges (including VAT and other taxes) and other sums due under all Agreements.

5. Disposal

Green Meadows Pet Aftercare Services Inc. reserves the right to dispose of goods, including ashes, paid or unpaid, after 6 months from supply. 

6. Assurance

Green Meadows Pet Aftercare Services Inc. guarantees the individual cremation of one pet at a time in an enclosed chamber, ensuring that the ashes returned to the Client belong solely to their pet.

7. Force Majeure

Green Meadows Pet Aftercare Services Inc. may suspend or cancel Agreement performance due to circumstances beyond its control, such as industrial disputes or supplier delays.

8. Rights Transfer

Green Meadows Pet Aftercare Services Inc. may assign or transfer its rights under the Agreement and sub-agreement obligations.

9. Legal Framework

The Agreement is governed by Philippine law, with the parties subject to the jurisdiction of Philippine courts.

10. Data Protection

Personal data collected by Green Meadows Pet Aftercare Services Inc. will be processed in compliance with data protection laws and the Privacy Policy available on the website.

11. Personal Belongings

The client must remove collars, harnesses, clothing, identification tags, toys, blankets, and all other personal belongings before bringing the pet to the facility. Once the pet has been received, personal belongings cannot be retrieved. For cases identified as infectious, viewing, opening the wrapping, and retrieving personal belongings after receipt are not permitted.

12. Disclaimer for Cremation Services

Green Meadows Pet Aftercare Services Inc.  provides pet cremation services only. We are not a veterinary diagnostic service, necropsy provider, or investigative agency.

No Medical or Legal Conclusions

Our intake observations (if documented) are strictly superficial and for internal record-keeping only.

We do not determine cause of death, examine injuries forensically, or provide expert testimony.

No Liability for Third-Party Disputes

Any observations noted during intake do not imply responsibility, fault, or legal conclusions about the circumstances of a pet’s death.

Clients agree not to use our documentation as evidence in legal, insurance, or investigative matters without prior written consent from Green Meadows Pet Aftercare Services Inc.

Cremation is Final

By proceeding with cremation, the client acknowledges that no further examination of the remains will be possible.
